Google Tasks tools: how a basic list app became a main work organizer

Many users rely on tools like Google Docs, Calendar, and Gmail, making context switching to a separate task app a point of friction. After trying to use TickTick for years without paying for a premium subscription, an Android Police contributor decided to give Google Tasks another look. Built directly into the Google ecosystem, it proved to be a simpler and more accessible alternative.

  • Gmail integration lets users turn emails into tasks instantly while keeping a direct link to the original message.
  • Android home screen widgets and Gemini voice commands allow adding tasks without opening the app.
  • Starred tabs and separate deadline fields help prioritize daily workloads effectively.

Gmail Integration and Gemini Voice Control

The author's inbox used to double as a to-do list, which often led to important emails getting buried under newer ones. Gmail's Add to Tasks feature solves this by keeping a direct link to the message so the email can be archived immediately. On Android, the option is hidden in the three-dot menu, while the desktop version places it directly in the toolbar.

When hands are busy, Gemini bridges the gap. Connecting Gemini to Google Tasks allows users to add tasks, change dates, or mark items as done using voice commands. Unlike phone alarms that disappear once dismissed, tasks remain on the list until explicitly completed.

Organization, Deadlines, and Subtasks

To prevent feeling overwhelmed by long lists, starring important tasks creates a dedicated tab for daily priorities. Tasks can also be sorted by date to keep near-term goals at the top. A separate deadline field was introduced in late 2025, distinguishing between when a task is scheduled and when it is actually due.

For larger projects, subtasks help break work down into manageable steps, limited to a single level of nesting. Separate lists keep personal routines and work projects isolated while remaining a swipe away. Ultimately, its seamless presence across Google apps makes Tasks a reliable productivity choice.
